Stay on Top of Your Finances with Invoice Management

In this article, you'll learn how to create and manage invoices in Kroolo, your smart productivity powerhouse.

1. Click on Invoices Section

Start by navigating to the invoices from your time tracking dashboard.

2. Head over to the configure sections

Adjust default settings as needed.

3. Add items and services in the defaults

Modify invoice numbers, tax percentages, and appearance settings. Upload your company logo and configure email templates.

4. Set Up Email Templates & Labels

Create email templates for invoices, reminders, and thank you messages.

5. Return to the Invoices Section

Once configurations are complete, navigate back to Invoices.

6. Create a New Invoice

Click on Create Invoice to start a new one.

7. Enter Client & Project Details

Select the client, project, and date range for the invoice.

8. Set Invoice Dates

Choose the start and end dates from the calendar.

Select the invoice date (when the invoice should be sent).

9. Choose the invoice date to send the invoice

Choose the invoice date—the date when the invoice should be sent.

Pick the date from the calendar and hit Apply.

10. Enter Address & Shipping Details

Enter the address and ship to details, then click on Next.

11. Preview your invoice

All the details will be displayed here.

12. Import time and expenses or manually add the items

To import the hours worked, click on Import time and expenses and then on Import.

13. Enter your hourly rate

The total amount will be calculated automatically.

14. Add any necessary notes

Once you're done, click on Next.

15. Review the preview of the invoice.

Click on Send Invoice to proceed.

16. Fill the Required details

Enter the name of the client, the subject, and the email. You have the option to Attach the invoice as a PDF and add yourself as a CC. Finally, hit Send Invoice.

17. Return to the invoices section.

Here, you'll see the invoice you just sent.

18. For additional options, click on the three dots.

You'll find options to mark as paid, record the payment, check the payment history, download the invoice, or delete it.

19. Search Invoices

You can search invoices by invoice number or clients, or filter them by different projects or statuses.
